Project Coordinator (Professional Services)

We are looking for a Project Coordinator to assist in managing a portfolio of customers who have purchased Professional Services. You’ll be responsible for coordinating project timelines, ensuring customer satisfaction, tracking key metrics, and facilitating communication between internal teams and clients. This role is a key contributor to delivering high-quality outcomes in collaboration with leadership, Sales, and other stakeholders.

 

What You’ll Be Doing:  
  • Project Coordination:
  • Establish project schedules and track deadlines, ensuring that all necessary steps are assigned to the appropriate team members.
  • Monitor progress on deliverables, updating leadership and other stakeholders throughout the project lifecycle.
  • Timeline & Expectation Management:
    • Develop and maintain project timelines while managing customer and partner expectations regarding the achievement of key milestones.
    • Provide weekly updates on project progress, including key accomplishments, potential risks, and mitigation strategies.
  • Internal Communication & Support:
    • Collaborate closely with the Sales team to understand client onboarding needs and identify required services to ensure a smooth transition for new customers.
    • Liaise with Sales and Customer Success teams to maintain transparency on the status of existing projects.
    • Assist in drafting Statements of Work and agency partner Vendor Briefs for outsourced work.
  • Operational Metrics Tracking:
    • Track and report on time spent on projects, revenue, margins, and other key operational metrics to ensure projects remain within scope and profitability goals are met.
    • Provide regular financial and operational reports to leadership, helping drive improvements in service delivery and efficiency.
  • Client Relations:
    • Build strong relationships with customers to ensure satisfaction, foster long-term partnerships, and identify opportunities for additional services.
    • Follow up with clients who have purchased Professional Services but have not yet initiated their project.
  • Quality Assurance and Performance Improvement:
    • Perform routine checks to ensure that deliverables meet or exceed customer expectations.
    • Support leadership in optimizing and documenting team processes and workflows.
Who You Are:  
  • 2-4 years of project coordination or management experience, ideally in a customer-facing or service delivery role.
  • Ability to manage small to medium cross-functional projects.
  • Strong client-facing communication skills with the ability to manage expectations and resolve issues efficiently.
  • Experience coordinating with multiple internal departments to deliver a cohesive customer experience.
  • Strong understanding of operational metrics, including time tracking, revenue, and profit margins.
  • Excellent multitasking and organizational skills, with attention to detail.
  • Comfortable working in a fast-paced environment and adapting to shifting priorities.

Bonus

  • Familiarity with project management tools like G Suite, MS Word, Excel, and PowerPoint.
  • Experience with marketing automation, lead generation, or demand generation marketing tactics.
  • Certification in project management (CAPM, PMP) or experience with Agile methodologies is a plus.

Compensation:  
The anticipated annual compensation for this position will be $75,000-80,000. Compensation packages are based on a combination of factors, including the selected candidate’s skills, experience as well as internal and external equity.
